TERROS, Inc. & CHOICES Network of Arizona (TERROS) needed an HRIS that could track information on employees in a number of locations in the Phoenix area. With SPECTRUM’s award–winning iVantage HRIS, TERROS is able to track every employee in multiple locations and ensure that they all remain up–to–date with their certifications—crucial for a healthcare or social service organization.

Lack of information

TERROS is a non–profit community–based organization that focuses on behavioral health and substance–abuse needs by providing prevention, education and treatment services. The organization operates two companies with 975 combined employees working across 18 sites in the Phoenix area, including administrative offices, outpatient clinics, an HIV testing and prevention center, supportive housing and a LADDER (Life Affirming Dual Diagnosis Education and Recovery) program.

Before iVantage, TERROS used an HR system that didn’t provide the easy, fast access to information that the organization needed. The lack of available information on employees, their positions and their employment histories was a hindrance.

With so many employees in so many locations, it was difficult for TERROS to track and maintain the employee certifications vital to an accredited behavioral health provider.

TERROS also uses many different forms of payment for its employees, volunteers, interns, temps and locum tenens. The organization required a system that was flexible enough to meet all its HR needs as well as integrate successfully with its payroll and financial system.

“iVantage has everything for all of your HR needs in one system,” says Shelley Staymates, TERROS HR Administrative Services Specialist and Credentialing Manager. “No matter how many companies, how many people or how many sites, it can handle it.”

iVantage also integrates with TERROS’ financial system, enabling the organization to use positional control numbers, multiple payment screens/types and multiple open/current positions.

Staymates says iVantage provides an advantage with its many standard reports, which she uses along with alerts to keep employee certifications current.

“Alerts are a great option because I don’t have to send out reminders, which ensures we keep certifications current for our Commission on Accreditation of Rehabilitation Facilities accreditation,” says Staymates. “Because of the reminders, our staff also now have their annual reviews and pay increases on time. Payroll and all other departments needing immediate information on hires and terminations also get it as fast as they can use it!”

Implementation and customizations

With the special needs of a healthcare organization and one with so many different locations, types of employees and pay methods, TERROS needed a flexible system it could customize. iVantage provided that system, and Spectrum provided the implementation help to get the system up and running the way TERROS needed.

“I have worked on a number of implementations, and I honestly cannot say I have had better customer service or nicer people,” says Staymates. “My experience has been wonderful. Spectrum representatives are extremely supportive and always listen to my suggestions.”

Since implementation, TERROS has created different fields in iVantage to accommodate specific processes as well as state regulations. These include expiration dates, driving records, tax information, methods of payment and information related to multiple positions and companies, among others.
